Dental answering services
Every practice has hours when no one can pick up. The three common answers are a human answering service, an AI receptionist, and voicemail with a call-back routine. Each handles emergencies and privacy differently.

Three ways to cover the phones
Who answers
- Human answering service
- Trained operators, usually remote
- AI receptionist
- Software
- Voicemail + call-back
- No one, until staff call back
Emergencies
- Human answering service
- Can follow your on-call script
- AI receptionist
- Must be configured to route out immediately
- Voicemail + call-back
- Message must tell callers what to do now
Scheduling
- Human answering service
- Takes messages or books, depending on access
- AI receptionist
- Can request or book if integrated
- Voicemail + call-back
- Next business day
HIPAA
- Human answering service
- Business associate if it handles PHI
- AI receptionist
- Business associate if it handles PHI
- Voicemail + call-back
- Your own system; still a Security Rule question
What to settle in writing
If the service records calls, stores messages, or schedules into your system, it handles PHI for you and is a business associate that needs a business associate agreement (HHS). A cloud service storing that data is a business associate even if it cannot read it. Agree the after-hours script, especially for dental emergencies, how messages reach the on-call dentist, and how quickly. For voicemail, the greeting should give clear instructions for emergencies.
Common questions
- Does an answering service need a BAA?
- If it takes patient messages or accesses your schedule, it handles PHI on your behalf and is a business associate.
